PROBLEM
The client company managed a high volume of invoicing through a manual and decentralized system, which led to issues such as delays in invoice validation, processing errors, and a lack of efficiency in communication between the different departments involved (procurement, registration, validation, orders, and accounting). These inefficiencies negatively impacted response times and the costs associated with invoicing, as well as the client’s reputation with their suppliers and customers.
SOLUTION & IMPACT
A web-based invoicing portal was proposed and developed, with various integrated modules covering the entire invoicing cycle: from procurement and registration to accounting. Each module was designed to optimize the stages of the process, reduce errors, and speed up invoice management, with automated validation control features. The project roadmap clearly defined short- and long-term objectives to ensure a smooth system implementation.
With the implementation of the portal, invoicing times were significantly reduced, increasing productivity and lowering operational costs. The new system succeeded in standardizing processes between suppliers and different areas of the company, which improved transparency and traceability of operations. These improvements enabled more efficient management of supplier relationships and increased the reliability of invoicing processes, ensuring proper validation and registration of each transaction.

As the consultant and project designer, I was responsible for studying the client’s background and needs, as well as designing the portal architecture and developing the roadmap for its implementation. I coordinated the various teams involved in building the procurement, validation, registration, and accounting modules, ensuring that each module was optimally integrated. I also oversaw the system’s development and its adaptation to the client’s specific needs, directly contributing to the success of the project.
